Privacy Policy
This policy explains what personal information Artelos (“Artelos”, “we”) collects when you use the Artelos website and apps, how we use it, and the choices you have. We do not sell your personal information.
Information we collect
- Account details: your name and email address, and your password, which we store only as a secure hash. If you use “Continue with Google” or Apple, we receive your name, email and an account identifier from that provider.
- Learning profile: the interests, goals, focus area, learning preferences and accessibility settings you choose.
- Learning activity: the lessons you open and finish, answers, grades, flashcards, notes, reflections, study time, the questions you ask the tutor and its replies, and reports you send about lessons.
- Secure exams: with your consent at check-in, camera and microphone recordings, a photo, the device names you approve, and events such as leaving full screen.
- Plans and community: semester plans, saved housing and opportunities, applications and requests you send through Artelos, friends and messages.
- Showcase: the headline, bio, links and posts you add, your visibility settings, and which approved employers viewed your profile.
- Practice ideas: the project and activity suggestions we make for you and whether you've done them.
- Uploads: course materials you upload or attach to a course request.
- Tutor memory: short notes the tutor keeps about how you like to learn and what you're working on, and how confident you seem in each idea. You can see and delete these under “What I remember” in the tutor.
- Ratings: your 👍/👎 on tutor-made demos and tricks, and what you said would help.
- Study rooms: messages, shared notes, check-ins and RSVPs in study sessions you join. Other members of the room can see them.
- Connected ChatGPT account: if you connect your ChatGPT plan, an access token we store encrypted and use only to run your own tutoring requests. You can disconnect it at any time in Settings.
- Employers: company details, hiring needs, the people you contact, shortlists and notes, and enterprise pricing requests.
- Technical data: IP address, browser and device information, and server logs. We use them for security, preventing abuse (for example, rate limits) and fixing problems.
Cookies and storage
We use one essential cookie to keep you signed in and to protect forms against forgery. Your browser also stores your light or dark theme setting on your device. We do not use advertising or cross-site tracking cookies.
How we use information
- To provide the Service: personalizing lesson examples, grading work, tracking progress, matching opportunities, and running secure exams.
- To create, check and improve course content, including correcting lessons based on reports.
- To keep the Service secure, prevent fraud and abuse, and enforce our Terms.
- To communicate with you about your account and the Service.
- To understand how the Service is used and improve it, using aggregated or de-identified data where possible.
Service providers we use
We use other companies to run parts of the Service. They may process your information on our behalf:
- Content-processing providers (currently Google's Gemini API, OpenAI's API if enabled, and OpenAI's ChatGPT service when you connect your own plan). These generate, adapt and check lessons, answer tutor questions, grade short answers and review reports. When you use those features, the relevant course text and what you type, such as your question, answer, interests or report, are sent to the provider. Please don't include sensitive personal information in what you type.
- Hosting and network: Cloudflare carries traffic to our servers.
- Sign-in providers: Google, and Apple if enabled, when you choose to sign in with them.
- Support email: when you write to us through Contact support, your name, email and message are passed to FormSubmit, which delivers them to our team inbox (Gmail). Only use it for what you'd put in an email.
Who can see your information
- Artelos administrators can see progress, grades, mastery, exam results and secure-exam recordings when needed to run the Service, review reports or investigate abuse.
- Other students can see your name, focus area and year when they search for classmates. Friends can see the courses you share and your plans for next semester.
- Approved employers can see your showcase only if you set it to “Approved employers” or “Everyone”, and only the parts you chose to include. Your email address is never shown to employers. If you choose “Everyone”, anyone with the link can see your public page; we ask search engines not to index it. Employers' views of your profile are shown to you.
- Automated tools moderate what you post, rank how well visible students fit employers' needs, and suggest practice ideas. Rankings use skills, work, interests and location, never protected characteristics.
- Ratings of tutor-made content are used, without your name, to improve the tutor, including to train models that make better demos and explanations.
- Others, as required: we may share information if required by law, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy continues to apply.
Retention
We keep account and learning data while your account is open. Personal demo accounts are deleted automatically after 48 hours. Secure-exam recordings are kept only as long as needed to review exam integrity, and you can ask us to delete them once the exam has been graded. When you delete your account, we delete or de-identify your personal information within 30 days, except where we must keep it for legal or security reasons.
Your choices and rights
You can update your profile in Settings. You can ask us to access, correct, export or delete your personal information by emailing [email protected]. Depending on where you live, for example California or other U.S. states with privacy laws, you may have additional rights. We will not discriminate against you for using them.
Children
Artelos is not intended for children under 16, and we do not knowingly collect personal information from them. If you believe a child under 16 has given us information, contact us and we will delete it.
Security
We use encryption in transit (HTTPS), hashed passwords, access controls, and limits on sign-in attempts and requests. No system is perfectly secure, so please use a strong, unique password.
Changes
We will post updates here and change the effective date. If changes are material, we will notify you on the Service or by email.
